Remember that time you had an appointment at that company that you had to wait long hours in the lobby before you could enter? How did it feel to fall victim to such an inefficient visitor management system? Surely wrong. Chances are, your company's visitors will feel the same way if your entry process isn't more efficient.

People do not like to wait to enter a building, and less if they already have an appointment scheduled with the company or need to perform a job at a specific time.

It clear that implementing access control for visitors and contractors is key to offer the appropriate security for any organization, however, this process can become a real nightmare in terms of waiting times if you do not have the right resources.

Now, imagine the option to offer your customers, or use at your own company, a solution that eliminates these unnecessarywaits; a technology that prevents reception staff from having to manually review all visitor requests one by one, verifying that the date and time of the appointment are correct, or even that they can digitally verify all the documents that temporary workers need to present such as permits, certificates and licenses.

It's not just a matter of wastedtime; receptions full of people involve serious risks to the safety of a building, not to mention the issue of social distancing protocols and biosecurity regulations in force.

At the end, all these issues of wasted time, delays and cancellation of meetings are connected to the overall reputation of the company. For this reason, it is important that you know the technological solutions that can help your customers or your organization overcome these challenges.

Self-management, the key to optimizing visitor entrance.

The first component of the Alutel Mobility 6.0 Suite to present is EasyAccess, this module allows people to self-manage their visit; that is, instead of forming a line to deliver their data at a reception, the user can perform a pre-registration process with all their information to create an online authorization (credential in QR code).

The process is simple,  after entering the data on the platform and accepting the terms and conditions, the user sends the request for a visit to the company, the corresponding employee receives it, rejects or approves the appointment, proposes another time or day if necessary and finally activates the option to send the credential via email.

Thanks to its integration with access control systems, the EasyAccess platform allows the user to enter with the QR code; whether you present it on your mobile or printed device.

The agility of digital document verification

The Second module of the Suite is Aludoc, another component of Alutel Mobility 6.0, a platform that facilitates the process of validating documents of contractors or temporary workers when entering the properties of an organization.

When people are going to execute a professional activity, they have to comply with a series of formal documentation. For example, if they are going to work at heights, they need a certification of work at heights; other examples are medical certificates, driver's licenses, etc.

Aludoc allows you to upload all the documents that a person requires to execute their work within a company, this way, the authorities in charge can verify in a more agile and secure way that this documentation is original or not expired.

The process with Aludoc is similar to EasyAccess: a worker or group of workers previously send all the documents through the platform (attaching the photos). If everyone is up to date, the interface will show the company a green light; otherwise, a pink light will appear to notify that something needs to be corrected.

Modern organizations are practical

Now that you know how EasyAccess and Aludoc solutions work, you will notice that more and more organizations are integrating these types of tools into their work ecosystems; not only to increase operational efficiency, but to strengthen safety levels and ensure compliance with biosafety standards.

Document verification, to cite an example, has become a real relief for critical infrastructure industries such as ports, mines or industrial plants where the process of validating licenses and certificates is crucial for occupational health activities.

Another case is if someone requires driving a car inside a plant. Aludoc will not only help verify that the driver has a valid driver's license, but also identify if the motorist has already received the company's training or if he has already seen the safety induction video required by the company; it's all a matter of setting up the app.

On the other hand, visitor management is useful in almost any institution; be it a hospital, a university or a corporate building.

If you analyze these benefits in organizations that receive hundreds of visitors a day, or in plants that hires and host hundreds of contractors, drivers and temporary workers, we are talking about many hours that can be saved per year.

In addition to alleviating waiting times, which can affect both people and the company's products and services, these tools also help to comply with the rules of companies, to the extent that the requirements and certificates they demand are being respected.

Finally, it is worth mentioning the convenience of these technologies in times of pandemic. With these applications, there is no need to have a person managing the paperwork; this avoids contact, queues and, ultimately, waiting times, since part of the functionality of these platforms is their integration with access control systems.
